1. Information We Collect

Account Information (via Clerk)

• Email address for account creation and authentication
• User ID (we do not store your name or other Clerk profile data on our servers)

Billing and Subscription Information (via Stripe)

• Subscription status (trial, active, canceled)
• Plan identifier and billing period dates
• Stripe customer and subscription IDs
• Invoice and payment status metadata

Payment card details and bank information are collected and processed directly by Stripe. CRAFTHQ does NOT store or have access to your full payment method details.

Resume Templates You Upload

• Resume documents you upload are stored in Cloudflare R2 (cloud storage)
• We store references to these documents in our database linked to your user ID
• Templates remain stored until you delete them or close your account

Job Application Data

• Job posting URLs and text content you submit for analysis
• AI-generated analysis results (job requirements, fit assessments, customization suggestions)
• This data may be stored locally on your device and, where required for processing and account features, on our servers.

Final Application Documents

• Customized application documents you upload for final fit assessment
• These are deleted immediately after analysis and are not retained

Technical Data Sent to OpenAI

• Job posting text you submit
• Your resume template content
• OpenAI processes this data to provide AI analysis features
• We store OpenAI usage metadata and analysis outputs in our database

Website Usage Data

• We use Google Analytics to understand how visitors use our website
• This includes pages visited, time spent, device type, and general location
• Your IP address is anonymized and not stored in full

2. How We Use Your Information

• Provide job application analysis and resume customization recommendations
• Store your resume templates for reuse across multiple job applications
• Maintain a history of analyzed jobs and recommendations on your device
• Improve system performance, reliability, and output quality
• Send important product and service-related communications
• Manage subscriptions, trials, renewals, and feature entitlements

3. Data Storage and Security

Where your data lives:

• Your device: Job analysis history is stored locally in the desktop application
• Cloud storage: Resume templates (encrypted in transit and at rest)
• Our servers: User IDs, template references, AI analysis outputs, job posting text
• OpenAI: Job postings and resume content are sent for AI processing per OpenAI’s data usage policies

All connections use HTTPS encryption. Resume templates are stored in private storage with secure access controls.

4. Third-Party Services

Clerk handles authentication and account management. (privacy policy)

Stripe processes payments, subscriptions, and billing-related communications. CRAFTHQ receives limited billing metadata (such as subscription status and invoice state) but does not store payment card details. (privacy policy)

OpenAI processes your job posting text and resume content to provide AI analysis. OpenAI may use submitted data according to their API data usage policies. (privacy policy)

We share only the data necessary for these services to function.

5. What We Don’t Do

CRAFTHQ is built for job seekers, not recruiters or employers. We want to be crystal clear:

• We do not sell your data to anyone
• We do not share your resume or application data with recruiters or employers
• We do not use your data for marketing beyond product updates
• We do not train our own AI models on your personal resume content
• We do not provide your information to third parties except the service providers listed above who help us operate the service

Your job search data is yours. We are here to help you, not profit from your personal information.

6. Data Retention and Deletion

• Resume templates: Stored until you delete them, request account deletion, or cancel your subscription. Resume templates associated with a canceled subscription are deleted within 60 days.
• Job analysis data: Job posting text, analysis outputs, and related server-side processing records may be stored on our servers while your account is active. For canceled or deleted accounts, related server-side job analysis data is generally deleted within approximately 90 days. Local job history stored on your device remains on your device unless you delete it.
• Final applications: Deleted immediately after fit assessment
• OpenAI usage metadata: Retained only as long as necessary for operational monitoring and cost tracking, and periodically deleted
• Account data: You may request full account and data deletion at any time
• Billing records: Limited billing and subscription metadata may be retained as required for accounting, fraud prevention, and legal compliance, even after account deletion

7. Subscription and Billing Communications

We may send transactional emails related to subscriptions, including trial reminders, payment confirmations, failed payment notices, and account status updates. These communications are necessary to operate the service.

8. Your Rights and Choices

• Delete individual resume templates through the application
• Request complete account deletion and removal of server-stored data
• Request access to or export of your data by contacting support
• Opt out of non-essential communications

9. Legal Basis for Processing

We process personal data based on your consent and to perform the services you request.

10. California Privacy Rights

California residents may have additional rights under the California Consumer Privacy Act (CCPA), including the right to request a copy of, or deletion of, personal information we hold about them.

11. Children’s Privacy

CRAFTHQ is not intended for users under 18. We do not knowingly collect information from children.

12. Changes to This Policy

This policy reflects our current practices and may be refined as the service, features, and legal requirements evolve. Material changes will be communicated via email or through the service. Continued use after changes constitutes acceptance.

13. International Users

CRAFTHQ services are operated from the United States. By using the service, you consent to the transfer and processing of your data in the U.S. and other countries where our service providers operate.
